Terms & Conditions

Welcome to Ardent Legacy Travel.

These Terms & Conditions govern your use of the Ardent Legacy Travel website and, where applicable, your engagement with Ardent Legacy Travel, also referred to as “ALT,” “we,” “us,” or “our,” for travel consultation, journey design, travel planning, advisory services, booking assistance, and related services.

By using our website or engaging ALT for services, you acknowledge and agree to these Terms & Conditions.

About Ardent Legacy Travel.

Ardent Legacy Travel is a boutique luxury travel advisory and journey design company based in Chattanooga, Tennessee.

ALT provides personalized travel consultation, journey design, destination recommendations, accommodation recommendations, travel planning, supplier coordination, reservation assistance, and related travel advisory services.

Our services are designed for travelers who value quality, personalization, thoughtful planning, trusted guidance, exceptional experiences, attentive service, and overall value.

Certain travel products and services recommended or arranged through ALT are ultimately provided by independent third-party travel suppliers.

Our Approach to Travel Planning

Ardent Legacy Travel is not positioned as a discount travel service and does not represent or guarantee that we will locate the lowest available price for any travel product or service.

ALT recommendations may consider factors including:

• Quality
• Service
• Location
• Convenience
• Reliability
• Traveler preferences
• Personalization
• Access
• Comfort
• Reputation
• Overall experience
• Overall value

The least expensive option may not be the option ALT believes will provide the best overall journey.

Our role as your travel advisor is to provide thoughtful and honest recommendations based on our professional experience and our understanding of your preferences, expectations, priorities, and desired experience.

Consultations and Professional Service Fees

Ardent Legacy Travel may charge professional fees for services including:

• Private consultations
• Journey design
• Travel planning
• Group travel coordination
• Concierge services
• Itinerary development
• Additional planning or advisory services

Applicable professional fees will be disclosed before they are charged.

Professional fees compensate ALT for our time, expertise, consultation, research, recommendations, planning, itinerary development, supplier coordination, and other professional services.

Professional fees paid directly to Ardent Legacy Travel are separate from amounts charged by hotels, resorts, airlines, cruise lines, tour operators, transportation providers, travel insurance providers, and other travel suppliers.

Unless otherwise stated in writing, professional fees may become nonrefundable once work has begun.

Any consultation fee that may be credited toward a Journey Design Fee is subject to the eligibility requirements and timeframe communicated by ALT.

Travel Proposals and Recommendations

Travel proposals, preliminary itineraries, quotes, and recommendations are prepared based on information, pricing, and availability existing at the time they are created.

A proposal or preliminary itinerary does not constitute a confirmed reservation.

Availability and pricing may change before reservations are confirmed.

Ardent Legacy Travel cannot guarantee that a particular accommodation, flight, cruise, tour, experience, rate, room category, or other travel component will remain available until the applicable reservation has been formally confirmed and any required payment has been received.

Pricing and Availability

Travel pricing and availability are subject to change until reservations are formally confirmed.

Travel costs may be affected by factors including:

• Dynamic supplier pricing
• Changes in availability
• Currency exchange rates
• Taxes
• Government charges
• Resort or destination fees
• Fuel surcharges
• Supplier-imposed fees
• Seasonality
• Other circumstances outside the reasonable control of ALT

A quote or estimate should not be considered guaranteed until the applicable travel arrangement has been formally confirmed.

Client Responsibilities

Clients are responsible for providing accurate and complete information concerning all travelers.

Before authorizing reservations, clients are responsible for carefully reviewing all material travel information, including:

• Traveler names
• Dates of birth when applicable
• Travel dates
• Destinations
• Flights
• Accommodations
• Room categories
• Transportation
• Tours and activities
• Other travel arrangements

Names provided for travel reservations should match the traveler's applicable identification and travel documents.

The client may be responsible for additional costs resulting from incorrect or incomplete information provided to Ardent Legacy Travel.

Reservations and Booking Authorization

By authorizing ALT to proceed with a reservation, the client confirms that the relevant travel arrangements have been reviewed and approved.

Travel reservations may be subject to separate terms and conditions established by individual travel suppliers.

Clients agree to comply with payment requirements, cancellation provisions, change policies, and other conditions imposed by applicable suppliers.

Deposits and Payments

Travel suppliers establish their own deposit requirements, payment schedules, final payment deadlines, cancellation policies, and booking conditions.

Clients are responsible for ensuring that required payments are made by applicable deadlines.

Failure to make required payments may result in cancellation of some or all travel arrangements.

Ardent Legacy Travel is not responsible for supplier cancellations resulting from a client's failure to make required payments by the required deadline.

Changes and Revisions

ALT understands that travel plans may evolve.

Reasonable revisions may be included within the scope of the applicable Journey Design service.

Substantial changes, repeated redesign requests, destination changes, cancellations, rebooking, or additional planning requested after significant work has been completed may require additional professional service fees.

Any additional professional fee will be communicated before additional billable work is performed.

Cancellations and Refunds

Cancellation and refund policies are primarily determined by the independent travel suppliers involved in a client's journey.

Certain deposits, fares, accommodations, experiences, professional service fees, and other travel components may be partially refundable or entirely nonrefundable.

Ardent Legacy Travel cannot guarantee that a supplier will provide a refund, waiver, exception, or future travel credit outside the supplier's applicable policies.

Professional fees paid directly to ALT are separate from supplier payments and may remain nonrefundable even when a travel supplier provides a refund or future travel credit.

Travel Insurance

Ardent Legacy Travel strongly encourages travelers to consider comprehensive travel insurance appropriate for their journey and individual circumstances.

Travel insurance policies vary in their coverage, limitations, exclusions, eligibility requirements, and claims procedures.

ALT does not determine whether an insurance claim will be approved and cannot guarantee coverage for any particular cancellation, interruption, medical event, expense, delay, loss, or other circumstance.

The decision to purchase or decline travel insurance remains the responsibility of the traveler.

Passports, Visas, and Travel Documentation

Travelers are responsible for obtaining, maintaining, and carrying all documentation required for their journey.

Required documentation may include:

• Passports
• Visas
• Electronic travel authorizations
• Entry permits
• Health documentation
• Vaccination records
• Authorization or consent documentation for minors
• Other documents required by governments or travel suppliers

Travel requirements may change.

Each traveler is responsible for confirming that they satisfy all applicable entry, transit, identification, documentation, and health requirements for their individual circumstances and itinerary.

Health, Safety, and Accessibility

Travelers are responsible for determining whether destinations, accommodations, activities, transportation arrangements, and travel experiences are appropriate for their individual health, physical ability, mobility, and personal circumstances.

Clients should inform ALT of important accessibility requirements, mobility considerations, dietary requirements, or other significant travel needs as early as reasonably possible.

Ardent Legacy Travel will make reasonable efforts to communicate appropriate requests to travel suppliers but cannot guarantee that independent suppliers will accommodate every request.

Independent Travel Suppliers

Hotels, resorts, airlines, cruise lines, tour operators, transportation providers, destination management companies, guides, activity providers, travel insurance companies, and other providers of travel products and services operate independently from Ardent Legacy Travel.

ALT does not own, manage, operate, or directly control these independent suppliers.

Ardent Legacy Travel is therefore not responsible for acts, omissions, delays, cancellations, schedule changes, service interruptions, operational decisions, financial difficulties, or other circumstances attributable to independent travel suppliers.

When supplier-related problems occur, ALT will make reasonable efforts to assist and advocate for our clients.

Events Beyond Our Reasonable Control

Travel may be affected by circumstances outside the reasonable control of Ardent Legacy Travel.

These circumstances may include severe weather, hurricanes, natural disasters, government actions, political conditions, civil unrest, strikes, labor disputes, public health events, transportation disruptions, security incidents, supplier failures, and other events outside our reasonable control.

ALT is not responsible for losses or damages resulting from circumstances beyond our reasonable control.

When travel disruptions occur, we will make reasonable efforts to provide guidance and assistance to our clients.

Traveler Conduct

Travelers are responsible for complying with applicable laws, regulations, customs requirements, supplier rules, safety requirements, and reasonable instructions while traveling.

Ardent Legacy Travel is not responsible for consequences resulting from a traveler's conduct, violation of applicable requirements, denied boarding, refusal of entry, or refusal of service by an independent supplier.
